Using Data Sources: Simple Use Cases

 

Overview

Data sources are flexible and powerful tools when building forms; they make data entry into forms easier, faster, and more reliable.  Shown below are some simple use cases of data sources that provide a list of values for mobile users to select from in a radiobutton or dropdown question.

Other common uses include auto-populating questions with information based on a previous question (such as pre-filling customer contact information based on the selected customer).  Data sources can also be filtered to provide users with only information relevant to them.

Case 1: Creating a List of Options

Seen below is a parts list; an administrator wishes for the mobile user to be able to select a required part in a work order form.  This part list can be uploaded as a Data Source to a Formspace, then linked to a dropdown/radiobutton question in the form.

  • Create your Data Source and Upload it to ProntoForms.
  • Create a Form within the same FormSpace as the Data Source.
  • Add a dropdown or radiobutton type question using the Form Builder.
  • Mouse over the question and click "Edit Properties".
  • Click the "Dropdown Properties" tab.
  • Select "Data Source" as the data source.
  • Data Source Configuration:

    • Data Source
      Select the name of the data source to use
    • Display Column
      Select the column you wish to use to populate the dropdown; in this case, select "Parts" 
  • Click "OK", then Save and Deploy the form

Case 2: Collecting Different Data Based on a Selection

Using a similar parts list, a team administrator wants to collect a part number for their records, but it is easier for the mobile user to select a part name from the list.  This can be done using a data source with two columns -- one for Part Number, and one for the Part Name.

  • Create your Data Source and Upload it to ProntoForms.
  • Create a Form within the same FormSpace as the Data Source.
  • Add a dropdown or radiobutton question.
  • Mouse over the question and click "Edit Properties".
  • Click the "Dropdown Properties" tab.
  • Select "Data Source" as the data source.
  • Data Source Configuration:

    • Data Source
      Select the name of the data source to use
    • Display Column
      Choose "Parts" to populate the questions with the Part names
    • Data Column
      Choose "Parts Num" to collect the related part number.

    • Example:
             - John chooses ' 2" Screw ' from the dropdown list
             - The data collected by the form is actually the part number: "SCR2IN"
  • Click "OK", then Save and Deploy the form
