Microsoft Office 365 Business Connection

About

The Microsoft Office 365 Business links ProntoForms to a Microsoft Office 365 Business account, allowing the use of the Microsoft Sites Custom List (Sharepoint) data source, Microsoft Sharepoint List Data Destination, or the Microsoft OneDrive for Business Data Destination or Data Source to route submitted form data.

Note: The Connection will only be used if referenced in a Microsoft Sites Custom List Data Source, OneDrive for Business Data Destination or Data Source, or a Microsoft Sites Document Library Data Destination configuration.

Enterprise and Cloud Connections link to external services from which data sources can import data, and to which data destinations can route data.  Read more about Connections here.

Required Permissions

To successfully use the Microsoft Office 365 Business connection, the connection must be created by a user with Contribute or higher permissions in the appropriate Site. Under the default Microsoft Sites or Sharepoint Online permissions, this requires the user creating the connection to be a Member or higher. To learn more about Microsoft Sites Permissions, look at Microsoft's documentation: Introduction: Control user access with permissions.

Configure the Connection

  1. Name the connection and optionally provide a description.
  2. If applicable, select the FormSpaces that are allowed to use this connection.   This step will be skipped if creating a new connection while creating a Data Destination or Data Source, as the connection will automatically be linked to the FormSpace the Data Destination or Data Source is in.
  3. Select the Connect button and enter the credentials to associate your ProntoForms account with your account.  When prompted, allow ProntoForms to access your information.

Session Timeout

When ProntoForms creates a connection to any Office 365 web app, it establishes an authentication token that is valid for a maximum of 90 days. This is an important component for Office 365 in balancing security and the number of times users are prompted for their credentials.

ProntoForms does not control this token. For more information, follow this link: Session timeouts for Office 365

As a result, every 90 days, the ProntoForms Admin with appropriate permissions to the Office 365 Business account will have to clear the Connection in the ProntoForms web portal and reconnect. To do so, follow these steps:

  1. From the Manage Forms dropdown, select Connections.
  2. Select the appropriate connection from the displayed list and select Update from the dropdown menu.
  3. Select the Clear button beside your account name. This will reset your connection.
  4. Select the Connect button and enter the credentials to associate your ProntoForms account with your account.  When prompted, allow ProntoForms to access your information.
  5. Select Update.
