The V1 forms Excel report lists all your V1 forms and documents. This topic shows you how to use the report to create a list of forms and documents you need to convert or archive.
V1 forms Excel report contents
The V1 forms Excel report lists all your V1 forms in the following states:
Draft—has never been available to users (never deployed)
Active—currently available to users with FormSpace access
Active with Draft—currently available to users (previously deployed) with another version in progress
Archived—currently unavailable to users

Use the V1 forms Excel report to identify forms to archive
Based on the report, create a list of active forms.
Draft forms have never been available to users because they were never deployed. It is likely that they are obsolete because V1 forms editing has been unsupported since last year. If you do want to convert a Draft form to V2 or keep an archived copy, you must deploy it to make it active. After that you can archive it or convert it. Check the FormSpace permissions if you don’t want any users to access it.
Archive any Active and Active with Draft forms that you no longer use.
Use your own knowledge of your business processes to archive any forms you no longer need.
If your form is in a FormSpace that users don’t have access to, this means that they are not in use. We recommend that you archive these forms.
Refer to the Submissions column in the report. We recommend that you archive any form that hasn’t had any submissions in the past year.
Activate any Archived forms that you want to keep using. You can’t convert Archived forms to V2. Make sure to check for seasonal forms that are currently not being used.
Download a new copy of the V1 forms Excel report. At this point, The forms that the report lists as Active are the forms that you need to convert to V2.

Refer to the Documents tab in the updated version of the report. The Number attached to Active/Draft column shows the number of active or draft V1 forms each document is attached to.
Does the Number attached to Active/Draft column show 0?
If yes, your team does not use the document. You don’t need to take action.
If no, you must take action on your document as described in the following table.
